Subject and payments

SystemService is the lessor and the company named in the order is the renter. The cabinet remains SystemService property throughout its use. Payments are not purchase instalments and do not transfer ownership. Company details, location, selected plan and order number are recorded before payment. The DROP number identifies the physical cabinet. If not yet known, it is provided in the assignment confirmation before activation, without changing the accepted price or terms.

SystemDrop Flex costs EUR 219 per month for a minimum of 12 months; SystemDrop Standard costs EUR 179 per month for a minimum of 24 months. Installation costs EUR 499 once. These amounts include VAT; part 1 governs the tax summary. Installation includes standard preparation, transport, fitting, the cabinet’s power cables and commissioning. Additional work outside this scope requires a separate agreement before it is commissioned.

Installation and, if purchased together, the platform are paid for when ordering. Monthly cabinet fees and the minimum rental term start only upon activation after delivery and installation. Ordering, assigning a company or registering the cabinet does not start rental billing. SystemService confirms activation with the DROP number, billing start date and minimum-term end date. An active platform plan is required throughout SystemDrop use; this does not require an unnecessary full year instead of available monthly billing.

Installation site and deadline

Installation is offered within Europe in countries available in the form. Before payment, the renter supplies the actual address and confirms the right to install the cabinet and the required written permission from the site owner or manager. The renter provides ongoing power and internet and pays their running costs. Missing power, internet or required permission prevents purchase qualification. The renter indicates wall, floor or combined fixing possibilities. SystemService determines the safe installation method.

The cabinet is 1830 mm high, 400 mm wide and 450 mm deep. The site must allow safe door opening and operation. A photo or map marking the location may be attached. SystemService recommends a video call before travelling. If safe installation is not possible, the parties seek a suitable alternative site. If none is agreed, the cabinet order is cancelled and the installation fee refunded in full. The platform contract remains separate.

The installation deadline is 3 months from successful payment of the installation fee. SystemService provides progress updates. An exceptional event outside SystemService’s control, such as a natural disaster, may extend the deadline by the actual resulting delay, capped at an additional 60 days. SystemService promptly explains the cause and expected date and takes reasonable steps to reduce the delay. Ordinary organisational difficulties are not automatically such an event.

If the applicable deadline is missed, the customer may cancel the cabinet order for a full installation-fee refund or agree to wait longer. No monthly rent is charged before activation. A full refund because SystemService missed the deadline is not subject to the deductions applicable to a customer’s voluntary cancellation.

Cancellation before installation

The renter may voluntarily cancel before installation. SystemService refunds the installation fee less only actual, documented and irrecoverable costs directly attributable to that order, such as justified travel and preparation already carried out. Settlement is individual, not an automatic penalty. Deductions cannot exceed EUR 499 and do not include the full value of a cabinet that can be used for another customer.

SystemService provides an itemised deduction statement and refunds the balance within 14 calendar days of receiving cancellation. If no costs were incurred, the refund is full. The 14 days are a refund deadline, not a consumer withdrawal period. The early termination fee for active rental described below does not apply before activation.

Use and responsibility

The renter may not independently relocate, dismantle, modify or repair the cabinet or its software, sublet it or transfer it to another party. Only SystemService carries out relocation, modification and reassignment to another company. One removable form-QR sticker and one renter-logo sticker are permitted, without covering the reader, locks, ventilation or markings or obstructing doors. Other signage must be agreed with SystemService.

SystemService maintains and repairs technical faults in electronics, doors, locks and software arising during normal use. Normal wear is acceptable. The renter keeps the surroundings clean and safe, reports faults promptly and allows access for agreed work. The renter bears reasonable costs of rectifying vandalism and mechanical damage, such as kicking, spray paint, writing on the cabinet or misuse. This does not transfer the cost of SystemService defects or negligence to the renter.

Faults are resolved as quickly as reasonably possible, with higher priority for faults preventing device recovery. No fixed repair deadline or round-the-clock technician presence is guaranteed. SystemService is not an insurer of deposited devices and is not automatically liable for every theft or loss. Liability for its own failure to perform is assessed under applicable law and is not wholly excluded. Suitable insurance, including checking cover for rented property and entrusted devices, is recommended but is not a rental condition.

Devices must be switched off, placed without force and positioned to avoid damage to each other or the compartment. Courier-parcel packaging is not required. Hazardous or flammable substances, leaks and devices with damaged, overheated or swollen batteries are prohibited. Multiple devices may belong to one job if they fit safely. The repair business agrees individual collection arrangements with its customer; collecting everything together is not mandatory. Device charging is not included in this offer.

Renewal and notice

During the minimum term, the customer may already give notice to end rental when that term expires. Timely notice does not require waiting until the last month or starting another contract. SystemService confirms the exact end date. Continued rental after the minimum term, without a new fixed-term agreement, becomes indefinite with one full calendar month’s notice ending on the last day of a calendar month. For example, notice on 2 February ends rental on 31 March.

Indefinite continuation costs the price of the relevant option at conversion plus 20%. The exact amount is emailed at least 30 days before it applies. This does not mean an automatic change whenever the website price later changes. A new 12- or 24-month agreement requires separate acceptance and uses the current offer price without that surcharge. A new price is not applied retrospectively without the required advance notice.

Notice concerns the identified cabinet and is submitted through its cancellation option in the profile or by email to info@systemservice.nl. SystemService confirms receipt and the end date; a faulty button does not prevent valid notice. Notice may be withdrawn before taking effect after confirming continuation and the stated price. Withdrawal does not automatically create a new fixed term.

Early termination of active rental

If the customer voluntarily wishes to end active rental before the minimum 12 or 24 months expire, early settlement is available. The one-off fee is 50% of the remaining SystemDrop rental fees up to the minimum-term end. It uses the customer’s contract prices, including granted discounts, not a new price list or the 20% indefinite-term surcharge. Periods already paid are not charged twice.

SystemService presents the calculation and proposed early end date before payment. The fee is paid once before that date. No second penalty for the same early termination or the other 50% of future rent is added. Arrears for earlier periods remain due. For example, after one paid month of a 12-month agreement, 11 months remain, so the fee equals 5.5 monthly rental payments.

This settlement applies only to the rental of the relevant cabinet, not the platform subscription. It does not apply before activation or to a legally justified termination for SystemService’s failure to perform. Other mandatory rights are preserved. No further rental fees accrue from the effective termination date.

Returning the cabinet

New deposits are blocked from the rental end date. Devices already inside must remain safely recoverable. The renter assists with their release, and SystemService checks that the cabinet is empty before collection. SystemService arranges and pays for dismantling and transport within 14 days of termination, with agreed access provided. Waiting for collection does not extend paid rental. The previous company’s history is not disclosed to the next renter.

Part 1 governs payment restrictions. Requesting company account deletion does not replace rental termination or cabinet return. Necessary access and data are retained for safe device recovery and completion of the return. Once those matters are closed, the deletion rules in Part 1 and documentation retention rules in Part 4 apply.
